Dirt work software for owner-operators

Keep the hours and job details you need at billing time.

For owner-operators

Keep the job details close to the work.

When you quote the job, run the machine, and prepare the bill, the details can end up in three places.

Keep the customer, site, hours, machines, and added-scope notes on one job—even when weather stretches it across several days.

A job links to an outside company, contact, phone number, and reusable site location in CutFill’s office directory.

The company, outside contact, and site location stay within reach of the job.

  1. Organize outside companies and contacts.
  2. Connect them to the job.
  3. Find the right person when the crew needs context.

The work you already do

Built around the jobs dirt contractors actually take

Driveways, pads, clearing, drainage, trenching, and haul-off all get a job record.

One record per job

Keep the customer, address, tasks, and notes together.

Customer history

Find the homeowner or builder and the jobs linked to them.

Hours by job

Clock in from your phone; switch jobs when the work changes.

Machine assignments

See the operator, assigned job, and latest recorded hour-meter reading.

Ready for billing

Bill from the record, not from memory.

An extra culvert, another day on the machine, or a rain delay changes the job. Record it while the work is in front of you.

Review that record in CutFill, then create the estimate or invoice in your existing accounting tool.

  • Customer and billing details.
  • Hours split by job.
  • Machine assignments and recorded hours.
  • Photos and notes for added work or delays.

Keep the job, its time, equipment, and field records together so the office can work from what happened.

Give the person handling paperwork their own access to the job records.

A few field hands

Workers clock their own job time and update assigned work.

A second crew

Add foreman or worker seats as needed; compare larger plan bundles on Pricing.

A dimensional personal time record with separate job segments and two slim job-reference cards.

Personal time stays with the job it was charged to, including separate segments when the work changes.

The details that matter

Keep enough detail to explain the job later.

For an owner-operator or small dirt crew, useful software should help when the customer calls after the machine has already moved. Record the details while the work is still in front of you.

Scope changed halfway through
Add a dated job note and supporting photos that describe the added work. Keep those beside the time and task record used to review the job; formal change approvals remain in your existing process.
The machine stayed for another day
Keep the job open, update the work record, and enter the relevant machine hours. An assignment says where the machine belongs; an entered daily record explains its use.
A load arrived or was turned away
Add Material Tracking when ticket quantities matter. Accepted and rejected tickets remain distinguishable, so a rejected load does not inflate the accepted quantity.
The customer asks about the bill
Review job time, notes, photos, and closeout before preparing the invoice in your accounting tool. The record supports the explanation; it does not automatically determine what the contract allows you to bill.

Questions

Dirt work software questions

Can one person start on Core Crew?

Yes. Core Crew includes 1 office, 1 foreman, and 3 worker seats. The included roles stay fixed as people join.

Can a job stay open over several days?

Yes. Keep the same job record through partial shifts, rain delays, and return visits.

Can I track hours on a skid steer or excavator?

Record hour-meter readings with the machine’s assigned operator and job. Readings are entered records, not automatic engine telemetry.

Does CutFill create estimates or invoices?

No. Use CutFill’s hours, machine context, and scope notes to prepare them in your existing billing tool.

What works without signal?

Loaded work remains available. Supported clock, task, note, and closeout updates save locally and reach the office after successful sync.

Can a small dirt crew track material and water costs?

Material Tracking can be added to Core Crew or either larger plan, with no dedicated material seat. It records orders, accepted tickets, delivered water, and meter readings. Owner/admin views use entered costs and show missing inputs; water and meter rental stay on their own order.

What should a one-crew walkthrough cover?

Use a job that ran over two days or gained extra scope. Show the customer and job details, assignments, time entries, machine daily record, photos, and closeout. Then confirm which records you would use when preparing the invoice.
