Excavation contractor software

Keep every crew working from the same job record.

Assign people and machines across jobs, record hours in CutFill Field, and review foreman updates and closeout in the office. Add Fleet Maintenance when you need the shop in the same system.

Across your crews

A changed plan should leave a clear record.

A machine moves, an operator switches jobs, or rain stops a crew. Keep the assignments, hours, and field notes with the job so the office can review the change.

Owners and office users work on the web. Foremen and workers record their part of the day in CutFill Field.

How excavation companies are organized

Coordinate crews without losing the detail.

Crew assignments

Assign people to jobs and give foremen the crew, tasks, and equipment for their work.

Time by job

Workers clock in on their phones. A job switch closes one time segment and starts the next.

Attendance and closeout

Record attendance exceptions and one foreman closeout for the job-day.

Equipment context

Keep the operator, assigned job, and recorded meter with each machine. Lowboy Dispatch adds ready-to-move requests and driver handoffs.

Choose a starting plan for your crews.

Core Crew
1 office, 1 foreman, and 3 workers. Jobs, time, equipment records, notes, and simple closeout.
Growing Operation
2 office, 2 foremen, and 6 workers. Includes Expanded Jobs and Expanded Ops.
Fleet Maintenance
Add Fleet Maintenance to Core or Growing with one mechanic/oiler seat. The module is included on Full Operations.

Example: two crews, two jobs, one changed afternoon

Illustrative example using CutFill assignments, time, notes, and closeout.

  1. Assign the work

A grade crew starts on a pad; a second crew starts on drainage.

  2. Record the change

An operator moves to drainage after lunch and switches job time. The foreman adds the field note.

  3. Close the job-day

Each foreman records the work, people, remaining blockers, and applicable counts.

  4. Plan tomorrow

After updates sync, the office reviews the records before making the next assignments.

A North Ridge job has named tasks and a crew assignment; the foreman sees the same assigned task on a phone.

Give the work a name, an owner, and a place in the crew’s day.

  1. Break the job into tasks.
  2. Assign the next step.
  3. Update the same task from the field.

Field to office

Give foremen a focused field app.

Foremen manage assigned jobs, crews, equipment, and closeout. Workers record their own time and task updates.

Supported changes can save on the phone without service. The office receives them after reconnection and successful sync.

  • Assigned people, machines, and tasks.
  • Crew attendance and job time.
  • Field notes, photos, and daily closeout.
  • Job weather and maps with Expanded Jobs.

Fleet Maintenance add-on

Keep the iron running, not just tracked

Fleet Maintenance connects field issues, assigned repair work, routine visits, and machine history. It includes one mechanic or oiler seat.

Field issues

Report the problem against the machine and job.

Repair work

Give the issue an owner and track the work.

Service history

Keep completed service and recorded machine hours together.

Shop access

Use the shop workflow with work attributed to the person who did it.

A field issue report becomes an assigned repair work order, then a completed entry in the excavator’s service history.

A field report becomes owned repair work, then a service record that stays with the machine.

  1. Report the machine issue.
  2. Assign and manage the repair.
  3. Record the completed service.

The details that matter

Review the exceptions before sending crews out again.

For a company running several crews, the value is in the detail behind a changed plan. These are practical questions to work through in the job record, rather than promises of an automatic exception dashboard.

A worker split the day
Compare the job time segments with the assignment and foreman note. A person moving at lunch should not leave the office guessing which job received the afternoon hours.
A crew reported work in two areas
With Expanded Jobs, review the closeout lines and their cut/fill or finish context. One person can have multiple work lines; crew membership is not itself a production count.
A machine cannot go tomorrow
Check the current assignment and the latest readiness information. With Fleet Maintenance, follow the issue and assigned work order before deciding whether the machine can be scheduled.
Tickets do not match the expected quantity
With Material Tracking, compare the fixed order target with accepted tickets and review rejected loads separately. Keep the source, carrier, unit, and supporting photos with the ticket.

Questions

Excavation contractor software questions

How do crews track time across jobs?

Each person clocks in through CutFill Field. Switching jobs closes the current entry and starts the next; company time remains separate.

Can foremen record attendance and closeout?

Yes. Foremen record attendance exceptions and daily closeout for their assigned jobs and crews. Detailed area and count rules require Expanded Jobs.

What works without cell signal?

Previously loaded work stays available. Supported time, attendance, task, note, and closeout updates save locally and reach the office after successful sync.

Do we need a separate fleet seat for each foreman?

Fleet Maintenance lets eligible foremen report issues and add field context. Mechanics and oilers use specialized seats; one is included with the module.

Does CutFill send hours to payroll?

There is no current automatic payroll handoff. Keep your existing payroll process.

Can the same person work on more than one job in a day?

Yes. A job switch closes the current time segment and starts the next. Record the assignment change and relevant field context as well, so the office can understand the split instead of relying on the total hours alone.

How should we evaluate CutFill for a multi-crew company?

Bring two active jobs, your crew and equipment list, and one recent change that was hard to communicate. Follow the assignment, job switch, foreman update, closeout, and office review, then price the actual office, foreman, worker, and specialist seat mix.
